Attendance

How many papers can I submit?

Every registered author can submit and present up to two papers.

Can I attend the conference without submitting an abstract and a paper?

You can register and attend the conference without submitting and presenting a paper.

There are no differences in registration fees.

Can I submit only an abstract without submitting a full paper?

You can submit only an abstract without submitting a full paper. All abstracts will be reviewed by the Scientific Committee. You can present your accepted abstract as a presentation during the conference but it will not be published in the Proceedings.

I have registered for the conference but I will not be able to participate. Can I transfer my registration to а colleague?

In case you have paid the registration fee but you are unable to attend the conference, you can transfer your registration to someone else who will be attending the conference. You should contact the organizers to inform them in a timely manner.

I would like to cancel my registration. Can you refund my registration fee?

If you cancel your conference registration five days after payment (by 1.04.2026) – full refund, minus any applicable bank transfer fees.

From five days after payment until 30.04.2026 – 70% refund of the total amount of the registration fee, minus any applicable bank transfer fee.

From 30.04.2026 to 19.05.2026 – 30% refund of the total amount of the registration fee, minus any applicable bank transfer fees. bank transfer fee.

From 20.05.2026 – no refund.

Is the Gala dinner included in my registration?

The Gala dinner is not included in the registration fee. All participants can pay for the Gala dinner on site.

Can I pay the registration fee on site when I arrive at the conference venue?

All participants must pay by bank transfer. The deadline for the early registration fee is 1.04.2026.

All authors of accepted papers must register by 1.04.2026.

In any other cases please contact the organizers.

Travelling & stay

Is accommodation available?

All participants have to take care of their accommodation.

Nessebar provides a variety of accommodation choices: All-inclusive hotels, family hotels, guest houses and Airbnb.

Is there an airport shuttle available?

There are no organized airport transfers. All participants must arrange their own transportation to the conference venue.

How can I get to the conference venue?

The main Airports in Bulgaria and the distance to Nessebar are:
Burgas Airport – 28 km, Varna Airport – 106 km, Sofia Airport – 416 km, Plovdiv Airport – 290 km.

You can take a bus from Burgas, Varna, Sofia and Plovdiv. All buses stop close to the conference venue.

The conference venue is situated in the center of the new town of Nessebar, at the “Zhulieta Shishmanova” square.

I need a visa to enter Bulgaria. Can you send me an invitation letter?

From 1 January 2025, Schengen visa holders will be able to include Bulgaria and Romania in their travel itinerary within Europe.

The information is published on the website of Ministry of Foreign Affairs of Republic of Bulgaria.

To apply for a VISA you will need to submit an Invitation Letter to the Embassy. You can receive Invitation Letter from the Conference Organizers that will confirm that you are a participant in the conference. To obtain an Invitation Letter you have to send a copy of your passport by e-mail to iccgis@cartography-gis.com. On the copy, your full name, date of birth, date of expiry and the passport number should be clearly visible.

You can receive an Invitation Letter once you have successfully completed your registration and have paid your registration fee.

Keep in mind that you should apply for a VISA no later than 1 month prior to the conference, as it takes time for VISA issuing. You may also be invited to an interview.

If you have any additional questions, please contact the Ministry of Foreign Affairs or the Bulgarian Embassy in your country.
